Key points and insights

The third installment of the "AI for Genealogists" series, titled "Organizing Information: Tables, Tags, and Templates," offers a transformative approach to managing family history data. While traditional family tree programs excel at documenting established conclusions, this session explores how artificial intelligence can bridge the gap between raw data and polished results. By leveraging AI to create dynamic research environments, genealogists can better track working hypotheses, reconcile conflicting evidence, and maintain a rigorous "work in progress" workflow. This integration of technology ensures that the thinking process behind the research remains as organized as the final pedigree.

  • The Master Research Table Concept: A significant insight involves converting GEDCOM files into structured research tables using AI prompts. By exporting specific segments of a family tree into a spreadsheet format, researchers can create a flexible space to document "abouts," "befores," and personal notes that are often difficult to visualize within standard genealogical software. This method allows for a holistic view of data, making it easier to spot patterns and identify missing generations across a research project.
  • Advanced Data Cleaning and Standardization: The webinar highlights the efficiency of utilizing AI-driven tools to scrub data for inconsistencies. From removing redundant spaces to standardizing place names and dates, these tools ensure that a researcher’s database remains professional and accurate. Practical advice on utilizing tab-separated values (TSV) rather than comma-separated values (CSV) provides a solution for preserving the integrity of complex location data that frequently contains multiple commas.
  • Leveraging Specialized Custom GPTs: A unique highlight is the exploration of custom-built AI assistants tailored for specific genealogical tasks. Specialized tools demonstrate how AI can automatically transcribe historical documents and immediately extract critical metadata—such as named individuals, their relationships to the deceased, and specific entitlements—into clean, tabular formats. This automation significantly reduces the time spent on manual transcription while increasing the speed of data extraction from obituaries and wills.

For those looking to elevate their organizational strategies and move beyond basic data entry, viewing the full recording of this session is highly recommended. The live demonstrations provide a clear roadmap for implementing these AI workflows into any genealogical project, offering a practical glimpse into the future of digital family history. Genealogists are also invited to explore the additional resources and detailed prompts included in the accompanying syllabus, which serve as an invaluable guide for mastering these advanced organizational techniques.

Fantastic webinar. Learned so much. Like others, I will rewatch to learn and retain more of the information. I appreciate the live view of the screens so we can immediately see what results look like when the prompts are entered. I love Excel and love that I can use it in my genealogy research. Thank you so much for sharing your knowledge of AI.

The specific case studies with live demonstrations were excellent. Relevant for us all and mindful of our different versions of AI tools and our Microsoft tools too. I heard several questions about the engineering of prompts to get the best outputs, and I would suggest folks try out PromptCowboy.ai which enable you to store your brief and long prompts in one place.

This was very helpful. I found where I was misusing terms and causing duplicates to appear. Calling something by two different names can be very confusing. I've decided to include instructions to prevent that happening in the future.
